Position Overview

The Executive Assistant & Office Manager plays a key role in supporting the President of the Biosurgery division and the wider leadership team. This role involves high-level administrative support, event coordination, and office management responsibilities, requiring a proactive, detail-oriented, and highly organized professional.

Key Responsibilities

  • Manage complex scheduling, calendar coordination, travel arrangements, and expense reporting for the President, Biosurgery.

  • Provide administrative support to the Biosurgery leadership team, including meeting planning, presentation preparation, and cross-functional coordination.

  • Organize internal meetings and external events, including logistics, agendas, and communications across regions.

  • Collaborate with leadership to plan and execute staff meetings and determine strategic discussion topics.

  • Facilitate legal, regulatory, and compliance processes, including documentation, reporting, and obtaining approvals/signatures.

  • Develop and distribute a monthly internal newsletter in coordination with leadership to share updates and team news.

  • Build strong relationships across departments and act as a key point of contact for administrative coordination.

  • Maintain a high level of professionalism and confidentiality while working independently with sound judgment.

  • Coordinate daily office operations, including facilities, supplies, and vendor interactions, to ensure an efficient work environment.

  • Execute special projects and support additional administrative tasks as needed.

Required Qualifications

  • Bachelor's degree preferred.

  • Minimum of 5 years' experience in an executive assistant or similar role, supporting global leaders.

  • Prior experience in pharmaceutical, biotech, or professional services sectors is highly preferred.

  • Fluency in English and German (both written and spoken) is required.

  • Excellent communication skills with strong attention to detail and a proactive, can-do attitude.

  • Demonstrated ability to handle sensitive information with discretion.

  • Ability to work across multiple time zones and collaborate with global teams.

  • Strong stakeholder management and interpersonal skills; adaptable and emotionally intelligent.

  • Proven ability to manage multiple priorities in a fast-paced environment.

  • Advanced proficiency in Microsoft Office Suite (especially Word, PowerPoint, and Excel).

  • Highly organized with excellent time management and problem-solving skills.

  • Curious, resourceful, and self-driven with a continuous improvement mindset.
