Our Client a global leading Healthcare company is looking for a Scientific Affairs Vendor Manager

Tasks

  • Work Order Management: Collaborate with functional teams and procurement to ensure Work Orders for external engagements accurately reflect the scope and requirements of the work to be performed.
  • Budget Oversight & Financial Collaboration: Partner with functional and finance teams to monitor and manage budgets effectively. Identify and implement cost-saving opportunities where feasible. Track Purchase Orders, contract values, and vendor spend rates to ensure alignment with financial plans.
  • Vendor Onboarding & Governance: Serve as the primary liaison with central procurement for evaluating, contracting, and onboarding new vendors. Ensure all processes follow governance standards and quality assurance protocols.
  • Governance Frameworks: Develop and implement Governance Charters and Oversight Plans for key vendors to ensure accountability and performance alignment.
  • RFI/RFP Management & Contract Negotiation: Lead and support the execution of Requests for Information (RFI) and Requests for Proposal (RFP). Assist in contract negotiations to secure favorable terms and ensure compliance.
  • Training Compliance: Ensure vendor personnel complete all required training, including Standard Operating Procedures (SOPs), and maintain accurate training records.
  • Risk Management: Collaborate with cross-functional teams to identify, assess, and mitigate vendor-related risks. Maintain a vendor risk assessment framework and conduct regular vendor meetings to address concerns.
  • Issue Resolution: Manage vendor-related issues proactively. Develop mitigation strategies, maintain an issue/action log, and ensure timely resolution and escalation when necessary.
  • Performance Monitoring: Track vendor performance against budget forecasts and service expectations. Set and monitor key performance indicators (KPIs), escalating concerns and working with stakeholders to resolve performance issues.
  • Financial Administration: Oversee financial processes including invoice tracking, Purchase Order (PO) creation, eCAF submissions, and system uploads to ensure timely and accurate financial documentation.
  • Contract Maintenance: Ensure Master Service Agreements (MSAs) and Statements of Work (SoWs) are current and accurately reflect the services provided by each vendor.

  • Good understanding of how a pharmaceutical company is organized, especially the work done by the Scientific Affairs team.
  • Takes full responsibility for tasks and is skilled at solving problems quickly and effectively.
  • Able to plan and manage projects well, keeping everything on track and on time.
  • Strong negotiation skills, especially when hiring and managing vendors to deliver services.
  • Clear and effective communicator, able to build strong working relationships with partners.
  • Works well with others, always keeping the needs of customers and stakeholders in mind.
  • Comfortable working with numbers, especially when checking and tracking invoices.
  • Understands procurement processes, including how to manage RFI (Request for Information) and RFP (Request for Proposal) steps.
