Administrative Assistant
EPM Scientific are currently partnered with a global Biotech / Pharmaceutical company supporting international research and development activities across Europe and the USA. They are urgently seeking an Administrative Assistant, USA & Europe, reporting to the VP, Head of Europe, to provide high-quality administrative and operational support across multiple business functions and study teams. This individual will play a key role in ensuring the smooth coordination of departmental activities, project operations, vendor administration, and internal and external engagements. Role Overview:
- Start date: ASAP
- Location: Europe, Remote
- Contract Type: Freelance / Consultant - 0.5 FTE, 12 Month Contract
- Language: English required; additional language skills advantageous
- Project: Administrative support
Key Responsibilities:
- Provide comprehensive administrative support across multiple departments and cross-functional teams.
- Coordinate internal and external meetings, including scheduling, agenda preparation, meeting materials, and follow-up actions.
- Support the planning and execution of conferences, workshops, and corporate events, including logistics management.
- Prepare, format, and maintain presentations, reports, study documentation, and other business-critical materials.
- Assist with contract administration activities, including document preparation, tracking, filing, and coordination with internal stakeholders and external vendors.
- Provide administrative support to study teams, helping facilitate efficient delivery of research and operational activities.
- Maintain accurate records, departmental documentation, and project tracking tools to ensure effective operational support.
- Collaborate with stakeholders across Europe and the USA to ensure smooth coordination of ongoing activities and initiatives.
Requirements:
- Advanced vocational qualification required; higher education degree preferred.
- Minimum 4 years of administrative experience supporting multiple stakeholders within a corporate environment.
- Previous experience within the pharmaceutical, biotechnology, healthcare, or life sciences industry is highly desirable.
- Strong organisational and time management skills with the ability to prioritise multiple competing deadlines.
- Experience coordinating meetings, events, travel arrangements, and business documentation.
- Strong attention to detail and ability to maintain accurate records and documentation.
- Fluent English language skills required; additional language capabilities are advantageous.
- Excellent communication, judgement, problem-solving, and stakeholder management skills.
- Proficiency with Microsoft Office applications, including PowerPoint, Word, Excel, and Outlook.
